Booking & Confirmation

 To secure your event date, a signed contract and a 20% non-refundable deposit are required for all bookings via bank transfer. Your date and time will be confirmed once both the signed contract and deposit have been received.

Payment Terms

Full payment is due two (2) weeks prior to the event date via bank transfer. Cash payments on the day of service are accepted only by prior agreement. Photo booth services will not commence until full payment has been received.

Cancellation Policy

We understand that plans may change, and will always aim to accommodate where possible. As your event date is reserved exclusively for you, the following cancellation terms apply:

  • More than five (5) weeks prior to the event: Deposit is retained.

  • Between two (2) to four (4) weeks prior to the event: Deposit is retained, and 50% of the total booking fee will also be payable.

  • Less than seven (7) days prior to the event: The full booking fee remains payable in full.

The above reflects the reservation of your date and loss of opportunity to accept other bookings.

Rescheduling

If the Client requests a change of date, the Provider will use reasonable endeavours to accommodate the new date. If the Provider is unavailable, the original deposit will be retained due to the exclusive reservation of the original date, and both parties will be released from further obligations, except where required by law. If the booking is transferred to a date in the following calendar year, the Provider’s current pricing at the time of rescheduling will apply.

Access & Parking

All parking costs are the responsibility of the Client. Parking must be provided within a reasonable distance of the setup location. Any unexpected parking fees incurred by the Provider will be invoiced to the Client after the event. The Client is responsible for ensuring appropriate access to the venue, including any required entry passes, contacts, or permissions.

Setup Requirements

The Client will provide a suitable and safe space for installation:

  • Photo booth: minimum 3m x 3m

  • 360 booth: minimum 5m x 5m

At least one accessible power source must be provided.

For outdoor setups, adequate overhead protection must be supplied for the full duration of the event to protect equipment from weather conditions.

Where props, a photo guest book, and/or audio guest book are included, the Client will kindly provide a suitable table or designated surface for use.

Setup & Pack down

The Provider requires access to the venue at least 90 minutes prior to the event for setup. Pack down will occur immediately following the conclusion of the hire period, allowing approximately 30 minutes for removal of equipment.

Operations

The Provider will ensure the booth is operational for at least 90% of the scheduled hire period. Short interruptions may occur for operational maintenance such as replacing consumables, adjusting lighting, or ensuring optimal image quality.

Equipment & Damage

The Client is responsible for any loss or damage to equipment caused by the Client or guests, including misuse or negligent handling. The Provider is not responsible for loss or damage caused by circumstances outside reasonable control, including power surges, interruptions, or force majeure events. The Provider may, at reasonable discretion, refuse service to any individual whose behaviour is unsafe, disruptive, or inappropriate.

Media Release

The Client acknowledges and agrees that guests attending the event may be photographed or recorded while using the photo booth. The Client grants the Provider permission to use such images or recordings, whether in whole or in part, for portfolio, promotional, advertising, and marketing purposes across all media formats, whether currently existing or later developed. All content will be used in a respectful and professional manner, consistent with industry standards and the Provider’s brand values. The Provider will not knowingly publish or share images or recordings of minors (under 18 years of age) without appropriate parental or guardian consent. The Client is responsible for informing guests of this media usage and ensuring they are comfortable participating under these terms. Where a guest does not wish to be included, reasonable efforts will be made by the Provider to respect such requests when clearly communicated.

Liability

To the maximum extent permitted by law, the Provider shall not be liable for any indirect, incidental, or consequential loss or damage arising from the Services. Nothing in this Agreement excludes any rights that cannot be excluded under Australian Consumer Law.

Force Majeure

In the unlikely event that the Provider is unable to deliver the Services due to injury, illness, an act of God, act of terrorism, or any other circumstance beyond reasonable control, the Provider will make every reasonable effort to arrange a suitable and qualified replacement. If a replacement cannot be secured, the Client will receive a refund of fees paid for the affected Services. In such circumstances, both parties will be released from further obligations under this Agreement, except where otherwise required by law.

Safety & Conduct

The Client is responsible for providing a safe working environment for the Provider and representatives, free from hazards, threats, or inappropriate behaviour. If the Provider reasonably considers the environment unsafe, services may be paused or terminated. In such cases, no refund will be provided for unused time.

Internet & Digital Delivery

The Provider will supply its own internet connection where required for digital delivery. If network connectivity is unavailable or disrupted at the venue, digital galleries will be delivered to the Client within seven (7) days via an online link or cloud storage.

Dispute Resolution

The parties agree to attempt to resolve any dispute in good faith. Where appropriate, disputes may be referred to mediation or arbitration by mutual agreement before pursuing court proceedings.

General Terms

Failure to enforce any provision does not constitute a waiver of rights. If any part of this Agreement is deemed invalid or unenforceable, the remaining provisions shall continue in full force. This Agreement represents the entire understanding between the parties and may only be amended in writing signed by both parties.
